Inviting teammates and roles

Invite teammates to your companies, set each person's role, and manage who can access and edit each of your brands.

Invite people to a company

A company can be shared with teammates so you don't have to work alone. Each person you invite gets a role that decides what they can do.

Roles

  • Owner - the single person who owns the company and handles its billing. Can do everything, including managing members and transferring ownership.
  • Admin - manages the company, its content, and its members (invite, change roles, remove). Cannot change billing or transfer ownership.
  • Editor - edits the brand, projects and prompts, and runs scans. Cannot manage members.
  • Viewer - read-only. Can open dashboards, reports and scans, and export a PDF, but cannot edit anything, run scans, publish a dashboard link, or change the Search Console connection.

Inviting someone

  1. Open Team from the sidebar.
  2. Choose Add member.
  3. Enter the person's email, pick a role, and (if you manage more than one company) choose which companies to give them access to: just this one, several, or all companies. The same role applies to each one you select.
  4. Choose which projects they get. The default is all projects in each company you selected. Pick Limit to specific projects to hand over only some of them.
  5. Choose Send invite (or the X to cancel without sending).

They receive an email with a link to accept. Until they accept, the invitation shows in the Pending tab with the companies it grants, when it expires, and two actions: send it again, or cancel it with the X.

Invitations expire, and you can send them again

An invitation is good for 7 days. The email states the exact date, and the Pending tab shows how long is left ("Expires in 5d") or marks it Expired once the time is up.

Use send again whenever the invitation did not land: it expired, the email never arrived, or it went to spam. It works on expired invitations too, so nothing is lost by waiting.

Two things to know about it:

  • It creates a new link, and the previous one stops working. That is deliberate: it means there is never more than one live link to the same seat.
  • Sending an expired invitation again takes a seat back, so if your team filled up in the meantime you will be asked to free one or upgrade first. Sending a still-valid one changes nothing about your seats.

Limiting someone to specific projects

Editors and viewers can be limited to a subset of a company's projects. This is what lets an agency put a freelancer on one client without handing over the rest.

  • Owners and admins always see every project. They administer the company, so a limit on them would not be a real one.
  • New projects are not shared automatically. A project created after you limited someone stays invisible to them until you add it, so a limit you set never widens on its own.
  • Someone limited to specific projects cannot create new ones. Ask an admin instead.
  • Removing every project from someone leaves them on the team with nothing to open, which is a valid way to pause their access without freeing their seat.

Updating someone's access

In the Team page, choose Manage access next to a member to change their role in each company, or remove their access to one without removing the others. The same panel is where you switch a member between All projects and a specific list, per company.

Accepting an invitation

Open the link from the invitation email and sign in (or create an account) with the same email address the invitation was sent to. Once you accept, the company appears in your account and you can start collaborating with the role you were given.

You don't need a plan of your own to accept. If you are creating an account from an invitation, we skip the plan step: your access is covered by the company that invited you, and you stay on their plan for as long as you hold a seat there.

You don't need the email again. Once you are signed in with the invited address, a pending invitation shows up as a banner in the app, and you can accept it from there. If you were part-way through accepting when you had to create your account, we take you straight back to it after you sign in.

The banner only ever shows invitations sent to your address, so nothing appears for you that was meant for somebody else. If you signed up with a different address than the one that was invited, the invitation will not show up: sign in with the invited address instead, or ask for a new invitation to the address you prefer.

Seats

Each plan includes a number of team members per company, and the Team page shows how many of them you are using.

Two things about that number are worth knowing:

  • The owner does not use a seat. A company whose plan includes 5 seats can hold the owner plus 5 more people.
  • A pending invitation holds a seat until it is accepted or cancelled, so nobody can send a burst of invites that all accept past the limit.

When every seat is taken, the invite button says so instead of letting you fill in a form that would be refused. Free the seat by removing a member or cancelling a pending invite, or upgrade the plan. See Plans and what each limit means.

Changing a role or removing someone

In the Team section, owners and admins can change any member's role from the dropdown next to their name, or remove them. Removal takes effect immediately.
